Summary:

As the Communications Specialist, you will join a Public Relations & Advancement team at one of the largest providers of behavioral health services in Maine. We are looking for an individual who brings a passion for telling stories with unique creativity combined with expertise in best practice communication strategies to help amplify our mission to various target audiences. You will be responsible for assisting with external and internal communications functions, including graphic design, social media, photography, multimedia content development, email newsletters, website & blog updates, managing digital analytics and community event coordination. You will help make a difference in the lives of Mainers most in need by sharing stories of impact with the public, donors, stakeholders, and staff.

ESSENTIAL FUNCTIONS:

Internal Communications

  • Manages the communications email inbox to ensure requests are pushed to the correct team member and requests are handled in a timely manner.
  • Manages the intranet system known as SweetserNet to post a daily flow of relevant communications on organizational happenings and announcements to staff.
  • Works with department contacts to ensure all pages of the intranet system are up to date.
  • Drafts the weekly CEO organizational email update.
  • Reviews & approves business card and other print collateral requests through SweetserPrinting.org.
  • Periodic travel between various office locations to ensure proper multimedia coverage of organizational happenings and ensure each location has proper print collateral and promotional material supplies.
  • Tracks inventories of print collateral, branded merch & swag, and recommend / place orders in conjunction with Chief Communications Officers when supplies run low.
  • Keeps shared Comms Drive organized and handles proper archiving of multimedia projects and documents.

External Communications

  • Keeps the public Wordpress website blog updated with relevant and timely information, events, and announcements.
  • Works with other communications team members to ensure department pages on public website pages are updated with relevant and timely information, events, and announcements.
  • Assists with social media campaigns on multiple social media channels including design, scheduling, posting and monitoring.
  • Creates and manages a social media content calendar.
  • Research potential topics and help with preparation for media appearances and segments.
  • Assists members of leadership with their media appearances when Chief Communications Officer is not available.
  • Multimedia Production: Photography and light video to capture stories of impact shot, edited, and sized for the correct platform specifications
  • Content Creation: social media graphics, reels, and email marketing newsletters.
  • Designs and distributes print collateral and support documents including but not limited to flyers, posters, brochures, and special annual publications.
  • Assists the Development side of the team with fundraising projects and events including the planning and creation of appeals, email communications, flyers, social media posts, etc.
  • Reviews digital analytics to spot trends, issues, and opportunities, providing a quarterly report to the Chief Communications Officer.
  • Assists with Google Advertising campaigns as needed.

Community Relations

  • Manages an annual statewide outreach event calendar to highlight Sweetser programs and services that could include community festivals, corporate gatherings, speaking engagements, panel discussions, tabling opportunities, recovery events, and wellness fairs.
  • Helps coordinate with Sweetser interns and programmatic staff to ensure adequate representation at community events.
  • Works with programmatic staff to identify key community partners to receive print collateral to advance business development needs. 
  • Assists the team in creating promotional goodie bags and informational folders for presentations, speaking engagements, stakeholder meetings, and community functions.
  • Manages online promotional item/swag store for Sweetser staff and the public, assisting with product feedback, new product identification, and works with the vendor to enhance the experience.
  • Helps brainstorm and organize business development events aimed at driving awareness of different Sweetser programs. Example: Sanford Recovery Rally.
  • Keeps the office storage area tidy and organized for team members to find supplies quickly.

EDUCATION:

  • Associate/Bachelor’s Degree required

EXPERIENCE:

  • Two years communications or marketing experience preferred or equivalent experience; will consider entry-level individuals based on relevant work samples
  • Familiarity with website management platforms including Wordpress preferred
  • Familiarity with the Adobe Creative Suite, including InDesign, Photoshop, Illustrator, and Express or similar platform preferred
  • Familiarity with photo and video editing platforms preferred
  • Familiarity with DSLR cameras and phone multimedia shooting preferred
  • Familiarity with proper A.I. usage for communications projects preferred
  • Strong verbal and written communications skills
  • Ability to maintain confidentiality, articulate organizational objectives and development goals, and work collaboratively
  • Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, database/CRM

KNOWLEDGE AND SKILLS:

  • Excellent organizational and time management skills, including the ability to handle and prioritize projects in a fast-paced environment with a high degree of accuracy.
  • Confident public speaking skills and ability to develop presentations.
  • Ability to set priorities, develop routines and effectively organize various tasks, projects, and responsibilities.
